Position Summary


Under direct supervision, responsibilities for this position include but are not limited to:




 



 



  • Assist and support the assistant director in conducting day-to-day operations in a timely and efficient manner. Screen the assistant director's calls as requested and assess the relative importance of each call. Take detailed messages for the assistant director. Perform special assignments upon the request of the assistant director. Convey information and explain college and departmental policies and objectives to internal and external entities. Assist with the organization of professional training, meetings, functions, and special events. Effectively support the assistant director with special projects and events that promote the mission, vision, and objectives of CSN and the Jumpstart Program.

  • Coordinate and participate in preparation of the Jumpstart class schedule. Work closely with the Scheduling Office to ensure classes are created in a timely manner, proofing for corrections and updates as necessary. Maintain, update and track budget reports. Coordinate recruitment for adjunct faculty. Process the new recruits in Workday.

  • Prepare and process all Jumpstart adjunct faculty contracts in WorkDay and any workload document preparation adhering to semester timelines. Work closely with each CSN department to obtain appropriate budget clearance and account numbers. Track various statistics as needed by each department chair, by working with CSN department's Administrative Assistant to verify budget information is accurate. Update and maintain the semester textbook list and provide it to the high schools before the semester begins.

  • Order exams and textbook desk copies from CSN departments, Bookstore as required and provide them to the respective Jumpstart adjunct faculty, before the semester begins. Assist the assistant director in setting up the annual Jumpstart adjunct faculty orientation. Responsible for using purchasing card and following CSN rules and regulations regarding purchases.

  • Maintain purchase card binder and complete monthly reconciliation following all deadlines. Organize materials for assistant director's signature and approval and accurately track the status of these documents and approvals via strong communication skills and in WorkDay, as needed. Support travel processes for the department including creation and tracking of travel requests, payment of registration costs and monthly mileage in WorkDay.

  • Properly maintain inventory of supplies and resources for the Jumpstart Office. Create and generate printing requests, work requests as needed. Maintain and update semester-by-semester database of all current part-time Jumpstart faculty with complete and updated contact information and CSN assigned numbers, (NSHE ID and EID numbers), as required by laws, policies and administrative regulations.

  • Maintain part-time Jumpstart faculty department files of collected syllabi, exams, quizzes and grade rosters for all faculty and classes as per NACEP accreditation requirements adhering to CSN timelines for retention. Develop and implement effective and efficient record keeping and record purging systems that align with CSN guidelines. Generate, maintain and disseminate various data reports every semester and annually. Identify professional development opportunities and participate in professional development training. Keep current in knowledge and skills to be able to perform all job elements. Stay current with WorkDay training.

  • Other duties as assigned.

 


Required Qualifications




 



 



  • Graduation from high school or equivalent education and two years of clerical and administrative support experience which included experience in one or more of the following areas: maintaining records and files; preparing a variety of materials using a personal computer or word processor; assisting customers in completing forms and applications; and/or performing secretarial duties in support of professional staff; OR one year of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience.

 


Preferred Qualifications




 



 



  • Nevada System of Higher Education (NSHE) prior work experience specifically in working with CSN, UNLV, UNR or any other NSHE institution.
