The Senior Administrative Assistant will provide comprehensive administrative support to a team of Government Affairs Executive Officers at New York Life.  This is a fast -paced role that requires the demonstrated ability of multitasking, setting priorities and meeting demanding deadlines. This is a hardworking and collaborative team that is uniquely positioned within the Company.
The Senior Administrative Assistant responsibilities include, but are not limited to:

 

  • Manage Executive Officers’ calendar and daily priorities, and assist with the day-to-day operations of their respective areas
  • Handle all aspects of administrative support in a timely and professional manner, including
  • creation/review/revision of memos, letters, presentations, and reports
  • Handle meetings planning/coordination and phone coverage, including providing backup support for other administrative assistants
  • Prioritize phone, mail and email messages; respond to requests on behalf of managers; track and follow-up on deliverables; maintain files
  • Manage sensitive documentation
  • Assist VPs with onboarding new employees
  • Assist with travel needs
  • Assist with reporting for Senior Management
  • Order and maintain supplies, and handle other administrative duties as assigned

 

Required Qualifications:

  • Bachelors Degree preferred
  • Minimum of 5 years of administrative experience supporting senior level executives in a corporate environment
  • Strong written, verbal and communication skills with the demonstrated ability to work with all levels within the organization
  • Strong organizational and problem solving skills; exceptional accuracy and attention to details Ability to work in a fast-paced environment and manage multiple simultaneous priorities Demonstrated ability to think end-to-end, connect moving parts, and anticipate change impacts Ability to multi-task and set priorities; flexibility in a fast-paced corporate environment
  • High level of professionalism with strong interpersonal skills
  • Demonstrated ability to maintain confidentiality; good judgment and diplomacy
  • Strong proficiency with Microsoft Outlook, Word, Excel, and PowerPoint
